What is a Listing Coordinator?

Listing Coordinators are the individuals assigned to ensure that the agent is able to present and list the seller's property by coordinating presentations, creating CMAs, upload the listing into the MLS, and schedule all showings. In some real estate offices, the Listing Coordinator carries dual responsibilities and work as a Marketing Coordinator. The Marketing Coordinator is responsible for ensuring that each property receives maximum exposure using various media. The ultimate goal is to get the best price and a satisfied seller.

What is a Transaction Coordinator?

Transaction Coordinators are the ones responsible for managing and monitoring the transaction process through interfacing with real estate professionals, clients, customers, vendors, title and escrow, attorneys, and lenders. The Transaction Coordinator is responsible for maintaining the escrow closing process and completing all tasks assigned during the normal transaction process of the Broker and/or Agent.

Once you have the listing agreement, we become the main point of contact. Our services include MLS input, marketing brochure creation, photo/virtual tour setup, open house scheduling, property tour scheduling, daily feedback on showings, weekly CMA’s to aid you in price reductions, etc. At executed contract, we begin contract to close and follow up with a survey after closing for seller feedback. Includes: RELAY (online mgmt platform), eFax, Docusign, Text Message Marketing & Signage, CRM (contact relationship management), Automated Showing Feedback : Total Savings & Value : $1420/yr

Listing Coordinator Duties

-Order virtual tour and photography through preferred vendor (Realtour.biz: $5 one time setup fee, $5 mo fee, $69.95 virtual tour that includes a minimum of 12 photos and a minimum of 3 panoramas)

-Enter listing into the MLS

-Enter listing into RELAY - online management platform giving all parties to the transaction access to documents pertaining to and notes on the the current status update of process (cost included in package price)

-Verify the property tax information in the MLS

-Obtain and input correct school information into the MLS

-Upload photos, seller’s disclosure, survey, property info, virtual tour etc. into MLS

-Text message marketing signage and service (cost included in our package price)

-Assign Supra lockbox

-Post on Craig’s list, office websites, personal websites, etc. – maintain throughout

-Provide access to our corporate efax and Docusign account

-Design and production of marketing flyer and/or brochure (free design by OTC through Realtour.biz - printing left to Realtor to do themselves or order through Realtour/ custom design and printing prices on "Pricing" tab of website)

-Collaboration with preferred lender for production of flyer with diff finance options (applicable with the lender you use or our preferred lenders)

-Just Listed cards produced and mailed with preferred vendor (contact us for custom design and pricing)

-Schedule ABOR property tour

-Schedule open houses in the MLS and sent to print for advertisement if applicable

-Order production of marketing material and have delivered at property (contact us for cost based on location of the property)

-Maintain daily showing feedback

-Weekly updates on Friday with current CMA pertaining to property

-Complete and submit and specific office paperwork that pertains to the file

 

Transaction Coordinator Duties

-Review contract for accuracy and completion

-Have contract receipted at the title co.

-Change status of listing to PB

-Contact title co, lender, other agent, and seller to give full introduction, contact info, and copy of the contract

-Email title co with seller’s mortgage info, HOA info, payoff amount, social, marital status, birthdate, and commission split

-Get inspection time and date from buyer’s agent and inform seller and listing agent of that info

-Make sure we have signed seller’s disclosure regarding all parties involved

-File any amendments to contract regarding sales price, repairs, etc.

-Remind agent when option period ends

-Get DA and make sure title co receives

-Obtain existing or new survey if applicable by date due

-Obtain appliance manuals from seller

-Confirm lender has ordered appraisal

-Make sure survey and HOA information has been obtained and received by title co

-Find out about POA and if mail out

-Confirm contract contingencies have been resolved and all amendments have been received by title co

-Get financing approval from lender

-If applicable, confirm that repairs have been made by seller and forward info to buyer’s agent

-Get all utility info from seller and forward to buyer’s agent

-Set date and time of closing

-Find out about cleaning intensions with seller

-Request preliminary HUD along with amount needed for closing and wiring instructions

-Remind seller to bring driver’s license and checkbook to closing

-Make sure any pest treatments have been performed and they have notified home owner’s insurance of change in service

-Remind buyer’s agent to do a walkthrough 2 days before closing

-After closing, change the status to SOLD

-Just Sold cards if applicable (contact us for custom design and pricing)

-Post closing survey to seller

-3 years of handwritten notes once a quarter to your client - total of 12 - (additional $99 paid at closing by Realtor)
